About This Role

We are looking for a smart and professional person to manage our front office and to perform a variety of administrative and clerical tasks, on an on-call flexible basis, as the need arises, providing operational support and cover during periods of staff absence, including sick leave and vacation leave. In this role, the selected person will be the first point of contact. She/he will oversee giving clients and visitors directions to the various parts of the office, contacting employees, answering phone calls, taking messages, and sorting and distributing mail.

Key Responsibilities

  1. Greet clients and visitors with a positive attitude.
  2. Directing clients and visitors to the respective offices as necessary.
  3. Assisting in administrative tasks as required.
  4. Preparing and setting up meeting rooms.
  5. Answering phones in a professional manner, and routing calls as necessary.
  6. Sorting and distributing mail.
  7. Provide excellent customer service.

What We're Looking For

  • In possession of at least an ordinary level of education.
  • Prior experience as a receptionist or in a similar position would be considered an asset.
  • Excellent verbal and written communication skills.
  • Good command of Maltese and English language is a must.
  • Good time management skills.
  • Multi-tasking and can work under pressure and on her/his own initiative.
  • Be competent in Microsoft applications.
  • Have a flexible approach.
  • Able to contribute positively as part of a team, by helping with various tasks as may be required.
